Payment Reminders & Overdue Alerts

Get notified when invoices go overdue and send escalating reminder letters (Mahnung) as PDF. Pro features.

When is an invoice overdue?

A saved invoice counts as overdue when its due date has passed and it has not been marked as paid. Overdue invoices are highlighted on your Invoices page and can be filtered with the Overdue filter.

Marking an invoice as paid (row menu > Mark paid) immediately removes it from the overdue state.

Overdue email alerts

Pro accounts receive a daily email summary when invoices pass their due date without being paid. Each invoice is included exactly once - the day it is first detected as overdue - so you are alerted without being nagged.

The email lists the invoice number, client, due date, and open amount, in your account language.

Alerts are on by default for Pro accounts. You can switch them off any time under Settings > Notifications.

Reminder letters (Mahnung) as PDF

For any overdue invoice, open the row menu on the Invoices page and choose Payment reminder. Pick an escalation level and a new payment deadline (7 days from today by default), then download the PDF and send it to your client however you prefer.

Three escalation levels are available, with increasingly firm wording: a friendly payment reminder, a second reminder, and a final reminder. German documents follow the customary Zahlungserinnerung / Mahnung / Letzte Mahnung sequence.

The document language follows the same rule as your invoices: if you and your client are in the same country, it uses that country's language; cross-border reminders are in English.

The reminder restates the open amount and references the original invoice. No late fees or interest are added - statutory rules differ per country, so the letter stays neutral and legally safe.

euinvoice.app tracks which level you generated last and suggests the next one. The Invoices page shows a small reminder hint on rows you have reminded.

Sending reminders by email

Currently you download the reminder PDF and send it yourself, which keeps you in control of the client relationship. Sending reminders directly from euinvoice.app is on the roadmap.
